For incoming tour operators and DMCs

Send the proposal the same day. Never miss an option again.

Today the quotation for every request is rebuilt in Excel, the itinerary retyped in Word, and the follow-up kept in somebody's personal file. Tourante brings that chain into one system: you paste the agency's email or upload its document, and the quotation, the multilingual proposal, the operation file, the transfers attached to it, the proforma and the payment tracking all sit on the same record.

What it costs today

This business carries a bill nobody adds up.

None of these are "hiccups". Each one is a real loss that disappears into some other line at month end. The list comes from the daily practice of a DMC working incoming.

The option deadline passed

25 seats and 13 rooms hang on two dates somebody is keeping in their head. Once a date is gone, the space either cannot be replaced or is replaced far more expensively.

The cost: Straight out of your pocket, per group

The proposal went out two days later

The same calculation is rebuilt for every request, the same itinerary retyped for every proposal. While the agency waits, it decides on somebody else's proposal.

The cost: Business you could have won

The rate moved between proposal and operation

TRY costs were calculated at the rate on the day of the proposal; the group arrived three months later. The difference came off the margin without anyone deciding it should.

The cost: The profit on work you already did

One date was missed in a revision

A date was added, a flight changed, the document was updated by hand. A single overlooked day or flight number surfaces on the morning of the operation.

The cost: Crisis management in front of the guest

The knowledge left with the person on leave

Tracking lives in everybody's own spreadsheet. Only one person knows what stage the file is at and what was agreed.

The cost: Work lost at handover

The same data was typed four times

The quotation figure goes into the proposal, the proposal detail into the operation file, and that into the invoice — all by hand. Every hop is another chance to get it wrong.

The cost: Repeated effort and repeated risk

None of this happens through carelessness. It is the inevitable result of running the work without a system.

How it works

Enter the data once. Let the chain run.

Each step inherits the output of the one before it. File number, locked rate, pax and flight details carry through untouched — what is never retyped can never be mistyped.

Step 1

The request goes in, the fields fill themselves

Paste the email that arrived in Italian, or upload the Word/PDF file. The system extracts the agency, proposal language, dates, nights per city, pax breakdown and hotel category. It also lists what the proposal needs but the request never said.

The AI reads the request and fills in the form; you check it.

Step 2

The quotation is calculated; the rate locks when the file opens

TRY items are converted to euro at the effective rate; EUR-contracted items are untouched by currency movement. The agency segment's margin is applied automatically. The moment an operation file is opened from the proposal, the rate in use is locked to that file.

The market can move; that group's profit stays where it was.

Step 3

The proposal comes out in the agency's language, with your logo and company details

Itinerary, included–excluded lists and the price table become Word and PDF in one click. You give the revision as a short instruction in Turkish — "23.06 için ek tarih çıktı, uçuşları güncelle" (a date was added for 23.06, update the flights). The system never invents what it is unsure of — it flags the spot and waits for you.

No internal cost or margin ever reaches a customer-facing line.

Step 4

Options and transfers never leave your sight

Every option countdown appears at once on the file card, on the owner's dashboard and in the manager's critical-options list. Transfers derive themselves from guaranteed departure bookings; any without a vehicle assigned is flagged red.

To miss one, you would have to close the system.

Try the flow without entering any of your own data.

If your request is a fit, we open a trial environment preloaded with sample data. You start from a ready request and its proposal, and run the flow yourself, from the quotation to the operation file and the proforma. For the proforma, entering a company name on the «Firma Bilgileri» screen is enough.

Modules

Fourteen modules. Switch on what you need today.

Modules are enabled and disabled per company, and your licence is the combination you choose. A disabled module never breaks the others; you add more as the business grows.

01

Requests

Email text, Word and PDF inputs; AI parsing, a list of missing details and a question draft in the agency's language.

02

Configurator

Day-by-day itinerary cards, drag-to-reorder, a library of locations, sites and legs, closed-day warnings for sites, and extras.

03

Quotation

Currency separation, live or fixed rates, accommodation, transport, guide, meal and entrance items, segment margins and a pax-band price table.

04

Proposals

Word and PDF proposals in seven languages, included–excluded lists, revision by an instruction in Turkish, version history and [KONTROL] flags that stop invention.

05

Operations

Automatic file numbers, status flow, option countdowns, owner assignment, flight badges, shared file notes and the Daily Operations screen.

06

Departures

A shared booking pool for guaranteed departures; occupancy bar, selling-agency count and coach assignment per booking.

07

Transfers

Every arrival and departure transfer, day by day, in one list: transfers created automatically from departure bookings and manual ones, vehicle assignment, a list copied for the driver, and markers on rows that changed afterwards.

08

Invoicing

Proforma and payment tracking: a numbered proforma PDF with the locked-rate line, payments, a payment plan and overdue-payment alerts. You issue the invoice in your own system and record its number and date in Tourante.

09

Follow-ups

Follow-up items on every file: hotel, guide, vehicle and restaurant confirmations, documents to send and payments; owner and due date, a company-wide follow-up screen and morning reminders.

10

Surveys

A guest survey opened by QR at the end of the tour; scores for hotels, meals, guide, transfer and the tour overall; guest scores on hotel and supplier cards.

11

Customers

Agency card, segment and margin link, default representative, segment history; current-account and customer-performance reports.

12

Hotels

Hotel cards and date-ranged prices, cost items, supplier cards and their documents; guest scores and an AI summary of the comments.

13

Feedback

A feedback button on every page of the panel; the screen's address and the browser details are added automatically, files can be attached, and the Tourante team's answer appears in the panel.

14

Agency Panel

A portal for the agencies you work with, under their own users: they book your guaranteed departures that are on sale and follow their own bookings; they see no amounts or invoices.

Alongside the modules

Phone app

Your operations team follows the day's summary, requests, proposals, operation files, transfers, guaranteed departures and notifications on the phone, signing in with the same email and password as in the firm panel. The app does not support two-step sign-in yet: managers, and users who have turned it on, cannot sign in on the phone for now. The app's store release is coming soon.

Agency portal

With the Agency Panel module switched on, your agencies book your guaranteed departures under their own users and follow their bookings; they see no amounts or invoices.

Imports and reports

You import your agencies, hotels and hotel prices, cost items, suppliers, users and past years' figures from Excel files. Managers follow the agencies' current accounts, the ageing of overdue amounts, account statements exportable to Excel and customer performance.

Two-step sign-in

Signing in to the firm panel also asks for a code from an authenticator app, not just the password: mandatory for managers, optional for other users.

Before you hand work over

Handing work to a system takes trust. The questions are answered up front.

You always make the decision

Every AI output is a draft. Critical fields and customer-facing documents do not leave the system without your approval.

The system never invents

Information it is unsure of — a flight time on a new date, say — is not produced; the spot is flagged and the document cannot be sent until you fill it in.

Your internal costs never leak

Keeping cost, unit price, margin and rate out of customer-facing text is not a preference — it is enforced at the generation layer.

Your data is only yours

Your agencies, files, prices and margins are kept fully separate from every other company. Your logo and company details print on your documents only.

Documents carry your company's identity

Your logo and company details print on the proposal, the proforma and the confirmation; your bank details and payment terms appear on the proforma. The layout of the documents is Tourante's standard layout.

Work continues if the AI does not

If the service is unreachable the system warns you and keeps the manual path open. Every field stays editable under all conditions.

Pricing

You pay only for the modules you switch on.

Your licence is the combination of modules you choose, and we price it for you based on that choice.

Why are there no figures here?

The pricing parameters are not settled yet. Rather than publish a number and change it a few months later, we prefer to say so plainly. Tell us which modules you need and how many users you have, and we will come back with a firm figure.

Frequently asked

Questions we hear

What if my team does not want to move to a new system?

The move is made module by module. Start where it hurts most — for most firms that is quotation and option tracking — and switch the rest on later. The proposal and the proforma the agency receives carry your logo and company details.

What happens to our existing Excel and Word files?

You import your hotels and hotel prices, your cost items (entrance fees, vehicle and guide tariffs), your agencies and your suppliers from Excel files, and the quotation draws on those records. Proposals come out as Word and PDF with your logo and company details.

Could our data get mixed up with another company's?

No. Each company's agencies, files, price lists, margins and survey responses are kept fully separate. Logo and company details, rate and margin policies, users and the switched-on modules are set per company.

What if the AI produces a wrong proposal?

Every output is a draft and nothing reaches the customer without your approval. Rather than produce information it is unsure of, the system flags the spot; the document states how many points await approval and cannot be sent while any remain.

Will exchange rate movement break our proposal?

The rate mechanism only concerns TRY cost items; EUR-contracted items are unaffected. The moment an operation file is opened from a proposal, the rate in use is locked to that file; the selling price comes from the proposal and does not change, and the proforma shows the locked rate and the TRY equivalent.

Which languages can proposals be produced in?

Proposals are produced in seven languages: Italian, Spanish, English, German, French, Russian and Portuguese; the proposal language follows the request's language. The system interface is in Turkish. The guest satisfaction survey opens in these languages too.

Do we have to take every module?

No. Modules are switched on and off per company and your licence is the combination you choose. A disabled module does not affect the others.

We have a need outside the standard scope.

Describe your need in the message field of your demo request, and we will look together at how the existing modules can meet it.
